Versioning in Sharepoint

Versioning in Sharepoint

What is Versioning? Versioning is refer as allocating a unique number to a specific document, so they can be refer in future for any changes or for undo any changes.

Where they are apply? Versioning can be apply on documents (Shared Document). By default, Versioning is disable in Sharepoint. Hence, they are not visible when user click on drop down on a specific document. See below screen shot:



To enable versioning for documents in document library then follow below steps:

1. Click on Shared Document.
2. Settings -> Document Library Settings -> General Settings ->
Versioning settings -> Document Version History -> (You can either click on Major or Major/Minor version option button) -> Ok
3. Now you can see Version History on above screen shot.

Restoring Version:

The main advantage of versioning is to restore the changes back to latest version, when you feel that changes you made in latest version is not contain enough info. OR if by mistake you deleted latest version and need to replace the data with enough information which is available in prior versions.





To restore old version to latest version, do below steps:

As per left screen shot, click on Version History, you will be directed to version metadata page (below screen shot).



In left screen shot, you will find list of version for a specific document. Either you can view the content for the document based on version Or you can restore the version to latest version. Please Note: You can only replace version to latest version. I mean - You can't replace version 2 to version 3 or vice versa.
